Job fairs connect employers with highly qualified candidates and provide job seekers with a way to spread their resume and connect with multiple employers in the same place. However, job fairs require months of planning as businesses need to be notified and advertising messages need to take effect. The success of any job fair depends on not only how many employers you have show up to the event, but also on how many job seekers arrive and speak with recruiters and company representatives.

1 Choose your target market for the job fair. Some successful job fairs target only specific areas of employment, such as only health care, manufacturing or information technology. Other job fairs--such as those hosted by county departments and local organisations--may target nobody in particular and have a mix of employers from multiple industries represented at the event.

2 Select a job fair location, date and time. Set a date for the job fair at least three to six months in advance to allow for planning and advertising. Some job fairs, like those attracting new college graduates, are held on college campuses. Others are held in large convention centres or meeting halls of hotels. Reserve a location which offers access to physically handicapped individuals and public transportation, if possible. Visit your potential job fair space to make sure that it is large enough to accommodate the number of employers and candidates you want to host.

3 Establish a budget for the job fair. Budgets for job fairs need to include advertising costs for television and radio commercials as well as for newspaper and Internet advertising. Also, include costs for food items if you're planning to have concessions as well as door prizes if these are being offered to attract job seekers.

4 Set rates for employer booths. Decide what costs (i.e. advertising, supplies, food, etc.), if any, you want the employers' fees to cover and set rates accordingly. Larger job fairs with many companies represented will only require small fees from employers to cover the total cost.

5 Contact employers about participating in the job fair. Tell them the date, time and location of the event. Contact the appropriate type of employer for the type of job fair you're planning. For example, call hospitals, treatment centres and social services agencies for a health care job fair. Contact both public and private schools as well as community colleges for teaching job fairs.

6 Pay for advertising to spread the word about the job fair. Make sure radio, television and print advertising are scheduled for well-ahead of the job fair date. Take flyers and announcements to colleges, community jobcentres and temporary employment agencies.

7 Write a survey to measure the effectiveness and performance of your job fair. Make a separate survey for both job seekers and employers. Write questions about participants' perception of the job fair, how many resumes and applications were submitted and how the job fair can be improved. Make plans to give these surveys to employers and job candidates after the event.

Make a follow-up reminder phone call to employers one to two weeks ahead of the scheduled job fair.
