PowerPoint is a program that allows users to create presentations that they can send in e-mails, post online or show in meetings. PowerPoint presentations that use a lot of images tend to sometimes be larger files than they need to be. In general, images in a PowerPoint presentations do not need to be larger than 1024x768 pixels, as this is the screen size for most computer monitors. Instead of using other programs on your Mac to resize the images and then reinsert them in the slideshow, PowerPoint includes a feature that allows users to compress the images, thus reducing the file's size.

Instructions

1 Open the PowerPoint document. Scroll to the first image in the presentation and right-click on it. Click "Format Picture" in the menu that appears.

2 Click the "Picture" tab in the "Format" box that appears. Then click "Compress."

3 Click the box next to "All Pictures in document" under the "Apply to" tab. This will compress all images in the presentation. Click "Selected Picture" to compress only the image you have selected.

4 Click "Web/Screen" under the "Change resolution" section if you plan to show the program using a computer. Click "Print" if you plan to print and distribute the presentation.

5 Click on the check box next to "Compress Pictures" under "Options." Also check the box next to "Delete cropped areas of pictures." Click "OK."

6 Click "Apply" in the "Compress Pictures" dialogue box that appears. PowerPoint will now reduce the file size.

Tips and warnings

If you embed fonts in a presentation, embed only the fonts you need; not a whole set of fonts.
